Our experienced functions team know all the ins and outs of organising successful events, so if there’s anything you’re unsure about, just ask. We’re more than happy to help, offer advice, or recommend additional services. For larger and/or more complex events, you might want to consider using a professional conference organiser or an event manager to manage all or just part of your event.
Creating the wow factor
There are lots of ways to make an event successful and memorable. Cultural performances, mihi whakatau or pōwhiri (welcomes), and tour options are great ways to create a unique experience. Lighting and theming can make a great event spectacular.
We can help you come up with ideas to make your event really sing and can organise suppliers as necessary. We work with a wide range of people covering everything you can think of – decoration and theming, entertainment, lighting, audio visual, and exhibition solutions to name a few.

Planning and budgeting
The secret to a smooth-running event is to check and double-check every detail. Start by writing a checklist. Useful starting points include:
- programme and schedule
- invitations / guest list / ticketing
- marketing and promotional material
- travel and accommodation
- catering
- room layout/displays/signage
- audiovisual and technical details
We find that working backwards from the date of the event is the easiest way to set milestones and deadlines. Remember to book early to make sure you can get your chosen venue and check what else is happening before you confirm a date. School holidays, public holidays and other events in the city might affect your plans.
As part of your plan, you’ll want to prepare a budget. Include an allowance for unexpected expenses to save last-minute stress over finance.
Gathering feedback
Gathering feedback from your guests is invaluable for future planning. Feedback forms are an excellent way to measure the success of your event. Sharing that information with us helps us maintain our high standard.
